How to reply to Google reviews

Short answer: To reply to a Google review, sign in to the Google account that manages your verified Business Profile, open your profile on Google Search or Google Maps, go to Reviews, tap Reply under the review, write your answer and post it. Thank people for good reviews, and answer bad ones calmly in public, then take the details offline.

Part of our complete guide: Google review management: the complete guide.

A reply is public. It is read by the reviewer and by every future customer who opens your profile, so it works as a small advertisement for how you treat people. Only a verified profile can reply to reviews, so verify first if you have not.

Step by step

  1. Sign in to the right Google account

Use the Google account that owns or manages your Business Profile. If you sign in with another account, the Reply button will not appear.

  2. Open your profile

Search for your business name on Google while signed in, or open the Google Maps app and go to your business.

  3. Open your reviews

Choose Read reviews. You will see every review, newest first. You can also sort to find the ones with no reply yet.

  4. Tap Reply under the review

Find the review you want to answer and tap Reply. A box opens under it.

  5. Write the reply

Use the reviewer’s first name, say thank you or sorry in your own words, mention one specific thing from their review, and keep it short. The examples below show how.

  6. Post it and check it appears

Tap Post reply. Google checks replies against its policies before they show, so it may not appear straight away. You can edit or delete your reply later from the same place.

  7. Go back for the old ones

Scroll to reviews from months ago that never got an answer and reply to those too. A profile where every review has an answer looks cared for.

What to write: examples you can adapt

Do not paste these word for word. Replies that are all the same read as automatic, and customers notice.

  • Five stars: “Thank you, Priya. We are glad the haircut was what you wanted. See you again soon.”
  • Three stars, mixed: “Thanks for the honest feedback, Arun. The food was good but the wait was too long, and we are sorry for that. We have added a second person at the counter on weekends.”
  • One star, upset: “We are sorry this happened, Neha. This is not how we want anyone treated. Please call us on the number on our profile, so we can put it right.”
  • A review with no text, just stars: “Thank you for the five stars, Karan. We hope to see you again.”

How fast should you reply?

Sooner is better, because a quick answer shows a real person is paying attention. For a negative review, take a few minutes to calm down first, then reply the same day or the next. Google does not publish a deadline, so treat this as good manners and not a rule.

Common mistakes

  • Copying one reply under every review. It looks automatic and teaches nobody anything about your business.
  • Arguing in public. Even when the reviewer is wrong, a calm answer protects you in front of everyone who reads it.
  • Sharing private details about the customer, such as what they bought or when they visited. Keep specifics out and move the detail to a phone call.
  • Offering a discount or gift in exchange for a changed review. Google’s policy does not allow incentives around reviews.
  • Answering only the angry reviews. Good reviews deserve a thank you too, and unanswered praise looks like nobody is reading.
  • Stuffing keywords or phone numbers into replies. Write for the customer, not for search.

Questions people ask

How do I reply to a Google review as a business owner?

Sign in to the Google account that manages your verified Business Profile, open your profile on Search or Maps, choose Read reviews, tap Reply under the review, write your answer and tap Post reply.

How do I respond to a positive Google review?

Thank the reviewer by name, mention one thing they said, and invite them back. Two or three sentences are enough. Avoid pasting the same line every time.

How should I reply to a bad Google review?

Stay calm, say sorry for the experience without arguing about the facts, and offer to fix it offline with a phone number or email. Keep it short and polite, because future customers are the real audience.

How do I thank someone for a Google review?

Use their first name, say thank you, and name something specific they liked, for example the staff, the service or the result. A short, warm line works better than a long speech.

Can I reply to old Google reviews?

Yes. There is no time limit on replying to a review. Answering older reviews shows new visitors that you care about every customer, not only recent ones.

Can I delete a bad Google review?

No. A business cannot delete a review it dislikes. If a review breaks Google’s policies, for example spam or a conflict of interest, you can report it and Google decides whether to remove it.

Why can’t I see the Reply button?

The most common reasons are that your profile is not verified yet, or you are signed in with a Google account that does not manage the profile. Verify the profile and sign in with the right account.

Do replies to reviews help my Google Maps ranking?

Google says reviews count towards how prominent your business is, and that replying shows customers you value them. Nobody outside Google can prove that replying alone lifts your rank, so reply for your customers first.

How do I manage my Google reviews every week without spending time on it?

Set a fixed time to read new reviews and answer each one. If you would rather not spend the time, our team replies for you as part of the managed service.
